There’s always room for improvement when it comes to conversions. Whether you’re in the eCommerce, job search, marketing, or travel industry, you need to be on the lookout for the best way to improve your conversion rates.

Conversion rates are one of the most important aspects of any business management strategy because it directly relates to how much money is coming in.

And while every business has different needs and avenues to work on improving their conversion rates, there are a few things that they have in common.

Virtual meetings are necessary in today’s business world. However, working from home has its advantages. For example, working remotely increases productivity in the software industry.

If you want to improve your conversion rates with your website or other online presence, consider these five tips that can increase your online conversions from virtual meetings today:

What Is a Virtual Meeting?

A virtual meeting is a meeting that takes place over the internet. It can be done via phone, video conference, or other web-based communication tools.

Virtual meetings, like email marketing, are a great way to engage with existing or potential customers.

There are many advantages to using a virtual meeting:

  • You can save a lot of time by not having to travel to an in-person meeting location
  • You can save money on travel costs and time spent away from work while you’re at the meeting

The disadvantages include:

  • Lack of body language and facial expressions
  • It can be difficult to understand what others are saying at times
  • There may be technical difficulties with the technology used for the meeting (e.g., with audio or video)

5 Tips for Higher Conversions From Virtual Meetings

As I said, virtual meetings are a great way to save time and money. But they can be challenging to plan and execute, especially if you are a sales person with many prospects. There are of course ways to make appointment setting targets an easier activity.

A clear plan is needed so that everyone involved is on the same page and has a shared understanding of the meeting objectives, goals, and expectations.

A virtual meeting should have a clear objective or goal that aligns with the company’s strategy.

It should have a clear agenda that is communicated in advance to all participants so they know what to expect.

The meeting should be well-organized with an agenda, materials, and tools in place before the event starts.

Agenda items should be clearly communicated before the meeting starts.

All attendees should have access to all necessary materials (e.g., presentation slides) before the event starts so they can review

1. Introduce Yourself & Share the Meeting’s Goals

The meeting agenda is the first thing that you should do before the meeting. It helps you to prepare for the meeting and set clear goals for the meeting.

Here are the steps to take both before and during the meeting:

  • Introduce Yourself & Share the Meeting’s Goals
  • Review Agenda & Set Meeting Goals
  • Discuss Agenda Items
  • Brainstorm Ideas
  • Close Meeting

Let’s look at how to plan your agenda ahead of time and what you should prepare.

2. Define the Agenda in Advance

You may be wondering what the agenda is. Well, it’s a document that outlines the topics that will be discussed at the meeting and any action items or decisions that will be made.

This document is often created in advance of the meeting, but it can also be created during a meeting by a facilitator if one isn’t present.

The agenda should include:

  • An introduction of who is attending
  • What they want to discuss, and
  • How long these topics should take

Meeting Kick-Off Activities

Introduce yourself and your brand, and emphasize the significance of your meeting. Set a time limit for the meeting to ensure its efficiency.

After this point, avoid using the word “I.” It is difficult to let go of the ego while remaining conscious whenever you use the first person singular. Complete the first activity in 30 seconds or less.

Those involved in prospecting and attempting to persuade executives to stay longer at their meetings must understand how to build customer rapport.

Purpose and Deliverables

Define the meeting’s purpose, scope, and deliverables separately on large-format paper, a handout, or a screen. Reiterate how important this session is and seek audible agreement from your participants.

Take special care to describe what it is like when a task is done (the deliverable). You will have facilitated audible agreement three times in two minutes after securing audible assent here.

If participants cannot agree on the meeting’s purpose, scope, and deliverables, your agenda is jeopardized, and you have even more work to do.

Describe Each Agenda Step

Describe each agenda step, including the reason for the order and flow of the agenda steps. Explain how the steps are related to one another.

Connect agenda steps to the deliverable so that participants can see how each agenda step feeds content into the deliverable.

Establish Ground Rules

Any narrative posting of ground rules should be supplemented with audio-visual support, including humorous clips, but keep it brief.

After you’ve presented your essential ground rules, ask for any additional ones from the group if necessary.

3. Use Visuals to Re-Enforce Key Points

Visuals are a great way to keep your audience engaged and help them remember the message you are trying to convey. You should use videos, slides, or anything else that can keep the attention of your audience.

In a virtual meeting, visuals can be used by participants to take notes, share content or just engage with the presenter more actively.

Visuals can also be used as a way of reinforcing key points in a virtual meeting. This is because they are more memorable than text alone, and they can be used as an anchor for discussion.

4. Ask Questions That Get People Talking

The best way to get people talking during a virtual meeting is to ask questions.

Questions like “What are your thoughts on that?” or “What do you think about this idea?” can help the meeting participants feel more engaged and they are more likely to share their thoughts and ideas.

Questions also help the meeting leader weave ideas together by connecting different topics and points of view.

For example, if we want to talk about how marketers can increase google ad conversion rates, we can ask what they think of google ads in general or what they think of specific use cases.

5. End With Action Items/Goals That Drive Results

Ending a meeting with action items and goals is the key to making sure that the meeting was productive. This is where you bring the client to the very end of the sales lead generation funnel.

  • Action items are the tasks that need to be completed by a certain date.
  • Goals are the results that need to be achieved by a certain date.

A good meeting agenda template should be simple and easy to follow. It should also include all the necessary information for the meeting.

The regular review agenda template is a great way to start the meeting by reviewing any changes that have happened since the last meeting or any new tasks that need to be completed.

This way, everyone in the team is up-to-date with what has been happening, and there are no surprises during the meeting.

Discussion agenda templates are used when there is a need for a more detailed agenda.

The Bottom Line

In this article, I wrote about five tips that can lead to higher conversions from virtual meetings. These include things like sharing the meeting’s goals, defining the agenda in advance and using visuals to re-enforce key points.

You should always ask questions during virtual meetings to get people talking and end a virtual meeting with action items and/or goals that drive results.

I hope these tips will help improve your virtual meetings and your overall efficiency.
